Nine applicant portals, eleven browser tabs and an aid form nobody checked. This Dashboard replaces them with one countdown — 26 days to the next of 41 dated items — and one status column across nine schools.
A parent and a senior at the kitchen table looking at one screen: 41 dated items, 9 schools, 14 supplemental essays and 22 recommender invitations, in one college application tracking spreadsheet.
Twenty-one connected tabs: College Apps 101 explains the process, then the list, the work, the money and the decision — deadlines, requirements, essays, letters, testing, aid forms, awards and costs.
Deadline Calendar tab: 41 dated items across nine schools in one sorted view with a live countdown and an overdue flag. Only nine of them are application deadlines — the rest is what families actually lose schools to.
Award Comparison tab computing net price as cost of attendance minus gift aid only, as federal law defines it. A $65,470 private nonprofit offer nets $24,275 — below every out-of-state public offer on the list.
Recommenders tab: four people asked, 22 invitations sent inside nine separate portals, 21 letters submitted and one still outstanding. Asked in the corridor is not the same as invited in the portal.
$10,459 apart over four years: two college offers with an identical $30,990 published cost of attendance, netting $16,295 and $18,795 a year. The whole difference is gift aid. Worked sample, not a forecast.
In the download: a 21-tab college application and scholarship command center in four colour themes for Excel and Google Sheets — deadlines, essays, letters, aid forms, award comparison. 2,026 formulas. $24.97.
College application tracker vs a typical eight-tab tracker: net price done correctly, loans below the line, a four-year projection, invited tracked apart from submitted. 2,026 formulas, 2815/2815 math checks.

Families pour months into 650 words and then lose a school to a portal task nobody checked — a recommender who said yes in the corridor and was never formally invited inside the system, a financial aid form that opened in October and closed while everyone was still editing an essay. The work that determines the outcome is not the writing. It is the tracking, which is why there are twenty-one tabs and not eight. Every dated item across every school lands in one sorted view with a live countdown and an overdue flag: 41 items in the worked sample, and only nine of them application deadlines. The file also computes net price the way federal law actually defines it, cost of attendance minus gift aid only, with loans and work-study shown separately below the line. In the sample, two offers with an identical published cost of attendance turn out to be $10,459 apart over four years.

Overview

The essay gets all the attention. The calendar decides.

It never predicts anybody's odds of admission — there is no chance-me score, no probability column and no chances number anywhere in it. It never states a named college's deadline, application fee, test policy, required forms or deposit as a fact; every one of those is a cell you fill in, with a verified-on date beside it. The test-policy column ships blank on purpose, because the national trackers actively contradict each other. And it never stores a password.

Key Benefits

Why this one

The item that loses a school

41 dated items in the sample, and only nine are application deadlines. The rest are portal tasks, aid forms, score sends and mid-year reports — the ones that quietly go missing.

Net price, defined correctly

Federal law defines it as cost of attendance minus grant aid only (20 U.S.C. §1015a). A loan moves the bill; it does not shrink it. This workbook computes it that way on every row and puts the borrowing in two clearly-labelled columns below the line.

Two identical stickers, $10,459 apart

In the worked sample, two offers with the same published cost of attendance separate by $10,459 over four years purely because one college put more gift aid on the table — and a private nonprofit with a $65,470 sticker nets out cheaper than every out-of-state public offer on the list.

Fourteen supplements, seven drafts

The Essay Tracker's reuse map finds the overlap, counts words against each cap live, and shows the margin under it before anyone pastes into a portal.

The letter that never arrived

Recommenders are tracked from asked, to formally invited in the Common App, to submitted, school by school — so the difference between a corridor yes and a Common App invitation is visible while there is still time.

Nothing stated that cannot be sourced

Every figure the file prints sits on Reference & Sources with a name, a URL and the day it was checked, beside a plain list of the numbers this file refuses to print and why.

Who It's For

Built for

  • Seniors applying to more than three schools, where the tracking stops fitting in one head
  • Parents who want the affordability conversation had in September rather than April
  • Families comparing award letters and unsure which offer is actually cheaper
  • Anyone chasing recommenders, portal tasks and aid forms across nine separate systems

How It Works

Up and running in minutes

Open in Excel — or one-click into Google Sheets

Open the hosted copy link included with your purchase and choose File → Make a copy. Every formula is portable, so nothing breaks in the move

Build the college list

Type, state, admission plan, deadline, portal, fee, waiver flag, reach / target / likely band, and why each school is on the list

Date everything

Every requirement, portal task, aid form and score send becomes a dated item on one sorted calendar with a countdown and an overdue flag

Track the writing and the letters

Prompts, word caps and the reuse map on one tab; asked, invited, submitted and thanked on the other

Compare the offers properly

Cost of attendance minus gift aid only, loans and work-study below the line, and four years projected before anybody sends a deposit

Why It's Different

Not another template

Almost every file in this lane is a to-do list with a deadline column. The outcome is decided elsewhere: in the portal task nobody opened, the recommender who was never formally invited, the aid form that closed in the middle of an essay draft, and the award letter read as though a loan were a discount. This one tracks those four things properly, and refuses to guess at anything it cannot source.

Delivery & Compatibility

Instant, and works with what you use

As soon as your order is complete you get instant access to download your files. Prefer Google Sheets for real-time updates and dropdowns? It's fully optimized. More comfortable in Excel? It works just as well.

Built and tested in the latest Excel (Office 365). On Mac we recommend the Google Sheets version — the template is not compatible with Apple Numbers. Available in English. The template ships with sample data so every screen works on open; clear it whenever you're ready. The images and video show that sample data to demonstrate how it looks in use.

FAQ

Questions, answered

Does it work in Google Sheets?

Yes. Open the hosted copy link included with your purchase and choose File to Make a copy, or import the .xlsx into Drive. The same download opens in Microsoft Excel, and every formula is portable, so nothing breaks in the move.

Does it tell us our chances of getting in?

No. There is no chance-me score, no probability column and no chances number anywhere in it. It tracks the work; it does not predict the decision.

Why are the college-specific cells blank?

Because the file never states a named college's deadline, application fee, test policy, required forms or deposit as a fact. Each is a cell you fill in with a verified-on date beside it. The test-policy column ships blank on purpose, since the national trackers actively contradict each other.

How does the award comparison work?

Net price is computed as cost of attendance minus gift aid only, per 20 U.S.C. §1015a. Loans and work-study are shown separately below the line, and a four-year projection applies an annual increase you enter yourself.

Is anything pre-loaded?

Yes — a complete worked sample you can read before typing a single thing: nine schools, 41 dated items, 14 supplemental essays, 22 recommender invitations and six award letters.

Can I get a refund on a digital download?

Because delivery is instant, all sales are final — but message us with any issue and we'll make it right.

This is a tracking and arithmetic tool, not admissions, financial, tax or legal advice. It does not predict admission odds, does not state any named college's deadline, fee, test policy, required forms or deposit as settled fact (the one real college in the file, Purdue on the College Apps 101 tab, is a dated, sourced example of how to fill in a row), does not subtract loans or work-study from net price, and stores no passwords. It stops at the deposit and does not budget a semester. Net price follows the federal definition at 20 U.S.C. §1015a. The figures shown are a worked sample, not a customer: Naomi Reyes is a fictional persona and the nine colleges are invented names; the only real college is the dated Purdue example on College Apps 101. Every screen in the photos and the video is a render of the real recalculated file, not a mock-up (the screens pictured are version 1.0; version 1.1 adds the College Apps 101 tab and the Apply-through column). This spreadsheet is the best Excel file I have used for writing a novel. I know, because I have already bought several others. Everything I need to write a novel is in one file. I can easily keep scenes, characters, and word count under control without jumping between notebooks. I log a session, and the sheet calculates the pace, the deadline, and whether I am ahead or behind. It is a tool that watches the progress. For me it is the best novel spreadsheet, and it stays for the next book.

I bought this to be able to keep track of my fitness and macros and it does just that. Setup is easy and I like being able to see the dashboard. In terms of customer service they went above and beyond. Initially the wrong file was sent to me and the creator responded quickly and was able to help me get everything downloaded and started.
